These are samples or projects I have worked on in the "real world," compared to the projects I worked on in the Project Management and UX certificate courses.

I am always tinkering around websites, apps or programs, and look for ways to improve or make things easier. These are a couple proposals to improve our workflow process and staff engagement as a mostly remote team.

Workflow Processing

After major changes to position requirements, free ECE foundational courses and new funding to make our Childcare Workforce Registry free, there was a significant increase in workload.

As a problem solver I am always brainstorming ways to improve processes, make systems more efficient and make sure our members and stakeholders needs are being fulfilled.

I presented possible solutions to the areas of our team that needed to be improved. The ideas I proposed that were implemented are:

Adjusting the phone schedule to allow more time to dedicate to workflow.
Looking ahead to major projects or events and forecasting them more often at weekly staff meetings.
4th Quarter urgency meeting.

Results:

Improved workflow processing time by 3 weeks in the 4th quarter.
Exceeded our processing goal by 2 days.

Intake Workflow Process

As the lead intake specialist I am responsible for training staff on the intake procedures. At intake, there are a lot of scenarios one might come across. Organizing each step of the process helps the new staff create a sense of routine and are able to check off each step before moving to the next set of documents.

I created this guide for a new staff, who's favorite color is pink. This guide was also used to review our agency's audit of policies and processes.

Restructuring and Urgency

Following up on a discussion with the Director of Operations about the possibility of restructuring the team and what can we do to continue the create the sense of urgency on our workflow.

Proposals that were integrated into our team include:

Keeping our "Watercooler Channel" light hearted, fun and engaging.
Meetings have more structure, leadership is more transparent about upcoming events or projects on the horizon and they are asking retrospective questions to get the team more engaged and so they, at leadership, can get a better sense of the team's workload.

Results:

Leadership held individual meetings to survey what the staff need in regards to recognition, career development and growth within the agency
Setting daily individual goals and recording the workflow progress in more detail. This will help forecasting, spot trends and give staff a specific goal to reach each day.
